How does Office Recovery operate?
- An Insured event strikes the business premises resulting with the inability to occupy
- Notify your broker or Travelers claims team to explain the situation
- An event manager will contact the client on the emergency numbers provided
- Alternative locations are identified and discussed with the client
- Resources are allocated to the standby premises and IT facilities installed
- Essential contact details are reinstated
- The event manager will oversee the whole process and once completed will hand over to the client with a sign off document
Who can benefit from Office Recovery?
This facility is provided to clients purchasing a Professional Risks Office policy with Travelers and is aimed at companies which have an office or administration centre with between 10 and 50 employees
It is not appropriate for ‘location specific’ risks such as shop fronted premises.
All the Insured’s sites can be included where the revenue generated at these premises is significant and may have a potential impact on the business. Key locations will be covered such as administrations and IT centres even though they may not directly generate revenue.
For those companies that have the facility and resource to produce contingency plans and make arrangements for alternative office space and IT structure, Travelers can provide Business Continuity guidance.
Travelers Business Continuity Guidance is available on our website via a secure customer login. Whilst it will not write a business continuity plan for you, it does offer information, self-assessment tools and general guidance to help you take a strategic look at your business activities and the potential impact of an insured loss on your business, thus helping you to work through this important process.
Who decides to mobilise Office Recovery?
Our claims handlers will make the decision to deploy in the first instance. Typically this decision is made at the time of initial notification of an incident.
How quickly is everything mobilised?
The services described above will be mobilised by First Recovery Limited within 48 hours of notification from Travelers Insurance.
Our alternative premises nearly always have 24 hour access so the recovery process is not limited to ‘9-5’ efforts.
Why only six PCs when my company has more than six staff ?
The service is designed to be deployed fast, to give an afflicted client an immediate platform from which to begin to manage the recovery process and to try to minimise the disruption to the business. It is intended as a base for critical staff to function from to enable them to manage and prioritise actions that will maintain as many business functions as possible.
If appropriate, Travelers can, at their discretion, agree to move more people into the new location at any time.
Where will my alternative office be?
Normally within a radius of 5 miles of the Insured premises. We cannot specify prior to the incident since we use managed office services for our relocations and we access the details of available office space as it’s needed. We will always try to give you a choice of two premises and of similar quality to your own.
If you are based in a remote area relocation may be outside the 5 mile radius.
